1. Purpose

ADADA supports the responsible, transparent, and ethical use of generative AI and AI-assisted technologies in scholarly publishing.

This policy provides guidance for authors, reviewers, editors, and the editorial office regarding the use of AI technologies in manuscript preparation, peer review, editorial management, and technical screening.

2. Policy for Author

AI tools must not be listed as authors or co-authors. Authors may use generative AI and AI-assisted technologies for:

  • language refinement
    • grammar correction
      • readability improvement
        • coding assistance
          • reference organization
            • research support

              provided that:

              • human oversight is maintained
                • all outputs are carefully reviewed and verified
                  • authors remain fully responsible for the content.

                    Authors should disclose the use of generative AI or AI-assisted tools when such tools are used to generate substantive manuscript content, including text, images, tables, code, data, citations, or interpretations. Language refinement, grammar correction, , readability improvements,  coding assistance, reference organization do not require disclosure.

                    Authors using AI-assisted tools to create or modify images, figures, tables, code, or other research outputs must disclose such use and ensure that the resulting materials do not infringe copyright, privacy, or other third-party rights.

                    In principle, authors should disclose the use of AI tools in the relevant sections where such tools were used. Depending on the nature and extent of the use, authors may alternatively provide this information in a separate “AI Acknowledgements” section. However, authors should understand that a separate AI Acknowledgements section is not necessarily required, provided that the use of AI-assisted technologies is appropriately disclosed elsewhere in the manuscript.

                    3. Policy for Reviewers

                    Submitted manuscripts must be treated as confidential documents.

                    Reviewers must not upload manuscripts, review reports, or confidential editorial communications into public or third-party generative AI systems without explicit permission from the editorial office.

                    AI technologies must not replace human scientific judgment during peer review.

                    Such processing may involve the transmission of manuscript data to external service providers solely for technical verification and editorial administration.

                    4. Policy for Editors

                    Editors are responsible for all editorial decisions.

                    AI technologies may be used only as editorial support tools and must not replace human evaluation, editorial assessment, or final publication decisions.

                    Editors must preserve manuscript confidentiality and avoid uploading confidential materials into unauthorized external AI systems.

                    5. AI-Based Technical Check

                    ADADA may utilize AI-assisted technologies to perform technical checks on submitted manuscripts.

                    These checks may include:

                    • formatting validation
                      • anonymization verification
                        • reference consistency checks
                          • metadata validation
                            • submission completeness checks

                              Parts of these processes may utilize external AI-assisted technologies provided by third-party service providers. The Society implements reasonable measures to protect confidentiality and privacy when such services are used. Submitted manuscripts are not intentionally used by the Society for AI model training purposes.

                              6. Human Oversight

                              AI-assisted technologies are intended solely to support editorial and technical workflows.

                              All final editorial decisions, including acceptance and rejection, are made by human editors.

                              AI-generated assessments alone will not determine publication outcomes.

                              By submitting this manuscript, the authors consent to automated technical processing, including AI-assisted analysis, for editorial administration and technical verification purposes.
